ClairHR is a product of Careerlink Holdings, Inc., a Delaware corporation with its principal office at 3301 Harney Street, Suite 100, Omaha, NE 68131. This Privacy Policy explains how we collect, use, protect, and disclose information in connection with the ClairHR platform and related services (collectively, the “Services”).
ClairHR is a business-to-business (B2B) SaaS platform that helps companies automate HR processes through artificial intelligence. We are deeply committed to respecting the privacy and data rights of the companies and individuals who use our Services.

Clients using the ClairHR platform;
End users who interact with ClairHR services (e.g., employees, HR personnel);
Visitors to clairhr.com or any associated domains.
By using the Services, you agree to the practices described in this Privacy Policy.
2. What We Collect
We collect the following types of information in order to deliver and improve our Services:
2.1 Client Business Data (Customer Content)
This includes information uploaded, entered, or integrated into ClairHR by our clients and their authorized users, including but not limited to:
Employee names, contact information, job titles;
Resumes, interview notes, and onboarding forms;
HR workflows, documents, and settings;
Questions submitted to AI assistants or chatbots.
Ownership: This data belongs to you, the client. ClairHR acts as a processor of this data on your behalf. We do not access, resell, share, or analyze your business data except as needed to provide and support the Services or as required by law.
2.2 Technical Data
We collect limited data to ensure the security and performance of our platform:
Browser type and settings;
IP address and location (approximate);
Device information;
Timestamps and logs of user activity;
Error and performance diagnostics.
2.3 Account & Communication Data
When your organization creates an account or contacts us:
Name, email, company name, phone (if provided);
Support tickets, chat logs, and feedback;
Billing information (processed by third-party providers).
3. How We Use Your Information
We use the collected information strictly to:
Deliver the Services and associated features;
Respond to your requests and provide customer support;
Maintain security and troubleshoot issues;
Improve and develop product features;
Comply with legal obligations.
We do not use Customer Content to train AI models for use by other companies, sell it to third parties, or analyze it for unrelated commercial purposes.
4. Data Ownership & Confidentiality
You own your data. ClairHR clients retain full ownership and control of all Customer Content.
We do not resell, rent, or share your data with advertisers or third parties for marketing purposes.
Access is strictly controlled. Only authorized personnel may access client data for legitimate business needs (e.g., troubleshooting, support), and such access is logged and audited.
5. Data Security
We take the protection of your data seriously.
Encryption: All data is encrypted in transit (TLS 1.2+) and at rest (AES-256 or equivalent).
Access Control: Role-based access, two-factor authentication, and IP restrictions where applicable.
Infrastructure: We host our infrastructure on secure, SOC 2-compliant providers.
Backups: Encrypted, frequent backups with strict recovery procedures.
Vulnerability Monitoring: Continuous security scanning and patching protocols.
6. Subprocessors and Third Parties
We may use vetted third-party service providers (“subprocessors”) to help operate our platform (e.g., cloud hosting, email delivery). All subprocessors are under strict confidentiality agreements and may only access data necessary to perform their services.

We retain Customer Content for the duration of your subscription and for a limited time after termination for account recovery purposes.
Upon written request or subscription termination, we will permanently delete your Customer Content, subject to any legal retention obligations.

ClairHR primarily stores and processes data in the United States. If you are located outside the U.S., you understand that your information may be transferred to, stored, and processed in the United States.
We ensure any such transfers are made in compliance with applicable laws and with appropriate safeguards.
9. Your Rights and Choices
As a client (or authorized user), you may:
Access, update, or delete account information at any time;
Request data export or deletion by contacting [email protected];
Configure platform settings to control data collection and sharing within your organization.
If you are an individual whose data is processed by one of our clients (e.g., as an employee), please contact your employer for data access or correction requests. ClairHR processes such data on behalf of our client and cannot respond to individual data subject requests directly unless authorized.
10. Cookies and Analytics
Our website may use cookies and analytics tools to understand usage patterns and improve site performance. You may opt out or disable cookies via your browser settings.
We do not use cookies for advertising or behavioral tracking.
11. Children’s Privacy
ClairHR is a B2B service and is not intended for children under 16. We do not knowingly collect personal data from children.
